About The Back Office Co.

The operation behind your business.

For real estate agents: listings, deals and paperwork, handled end to end. For growing businesses: the finance, administration and systems behind the operation. The work runs in your own systems, where you can see it any time.

Why this desk exists

Good businesses lose their evenings to the work behind the work — books done after hours, deadlines carried in the owner’s head, files run from a parked car. The Back Office Co. exists so that work has a desk of its own: one operation, run to one standard, that agents and owners can see any time.

Geneva Bast, B.B.E.
Founder, The Back Office Co.

Geneva Bast is a business operations and financial administration specialist — 25 years of running the back office. Administration first, then her own business, then the back office of a cross-border, publicly traded oil & gas company: C-suite support, corporate services, HR, payroll and benefits, public-company filings — through management changes, an amalgamation, and the eventual sale. She knows how to keep things running when the ground shifts.

The last ten years have been real estate: three in development, seven running transactions and team operations for high-performing teams and luxury agents — including operations, financial administration and compliance for a multi-entity real estate and investment business, and property management accounting for 200+ units. The track record: 319 transactions, $437M coordinated, zero missed deadlines.

The titles have varied — executive administrator, executive assistant, marketing manager, business operations manager. The work never has.

The standard is simple: the details are handled, the deadlines are met, and nothing important falls through the cracks.

The experience behind the desk
  • Corporate operations — the back office of a cross-border, publicly traded oil & gas company: executive support for multiple C-suite executives, corporate services, HR, payroll and benefits, public-company filings
  • Real estate — three years in development, seven running transactions and team operations for high-performing teams and luxury agents
  • Financial administration — multi-entity bookkeeping, payroll, payables and receivables, month-end reporting, compliance
  • Property operations — property management accounting for 200+ rental units
  • Systems — deep experience in QuickBooks Online, Sage, Yardi and Payworks on the business side; Pillar 9, SkySlope, ShowingTime and digital signature platforms on the real estate side. If your business runs on something else, that is not a barrier — systems are picked up quickly here. Every engagement works inside your own systems

THE DESK

What it does

  • Transaction coordination — listings and deals, setup to closing
  • Bookkeeping and financial administration — the books, kept current
  • Fractional business operations — the operation, run whole
  • Compliance and deadlines — agreements, FINTRAC, filings and renewals, tracked to their dates
  • A remote desk — the desk is remote; the work runs inside your own systems, visible any time, with no on-site work
NOT THIS DESK

What it does not do

  • Inbox triage and calendar management — assistant work, a different desk entirely
  • Marketing and social media posts — your voice, your audience
  • Advice and negotiation — licensed work stays with the agent
  • Accounting and tax filing — your accountant keeps those; the desk hands over clean books
  • Attendance — showings, inspections and walk-throughs are coordinated from the desk, never attended
Said about the work
“Whatever got thrown her way… She never once blinked.
“She didn’t just keep up with where this business was going — she’s the one who took me there.

Winnie
Head of Office Morale, The Back Office Co.

Winnie has held her post for ten years, which makes her the longest-serving member of the team. Her remit is the office itself. She supervises the working day from the best seat in the room, and holds morale to the same standard everything else here is held to.

She takes the responsibilities seriously, in her own way. No deadline passes unobserved, and no lunch in this office has ever gone uninspected. The Back Office Co. runs on systems, standards — and Winnie.

THE THREE DOORS
RE: Work with the Back Office
For real estate agents: every file closed beautifully — listings, transactions, deadlines and closing coordination. For business owners: financial administration on its own, or operations, handled — systems and ongoing operational support.

FROM THE FOUNDER
RE: Why I built it
I started The Back Office Co. because I kept seeing the same thing: talented people building good businesses, and losing their evenings to the paperwork behind them. Agents running files from a parked car. Owners doing payroll after the kids are in bed. The work behind the work deserves a desk of its own — so I built one.
