Bookkeeping for agents · Calgary, Alberta

Bookkeeping for real estate agents, run like your files.

Your client files run on a system. Your own books usually run on a shoebox and a deadline. The Back Office Co. keeps an agent’s practice books the way it keeps files — current month over month, reconciled, with the state of the books on one page — for agents in Calgary and across Alberta.

From $395 a month, scoped in writing, on the same desk as your files if you want it there.

TAB 01THE WORK

What agent bookkeeping covers.

The monthly rhythm of a practice, handled — so the year-end is a handover, not an excavation.

Kept current, monthly.

  • Commission income — recorded as it lands, deal by deal
  • Practice expenses — captured and categorized as they happen
  • Every file — a profit and loss of its own: its income and expenses tracked to the file as they happen
  • Bank and credit card accounts — reconciled every month
  • GST on commissions and expenses — tracked as it moves
  • Receipts — filed with the month they belong to
  • The state of the books — one page, every month

Ready for your accountant.

  • Records organized the way your accountant wants them
  • Year-end — a clean handover, not a shoebox
  • Questions from your accountant — answered from the records
  • The filings themselves stay with your accountant
TAB 02THE DIFFERENCE

Your books are a file too.

An agent’s income is lumpy by nature — big months, quiet months, expenses that never stop. Books that only get attention at tax time cannot tell you anything while the year is still yours to change.

A rhythm, not a rescue. The books close every month, on a schedule — the same discipline this desk runs on your listings and deals. Nothing piles up, and nothing waits for April.

You can see where you stand. One page each month: what came in, what went out, what is set aside. Decisions about spending, hiring, and slowing down get made on numbers, not on a bank balance and a feeling.

Every file shows its own numbers. As the books are kept each month, we track every file’s income and expenses to the file — the commission in, the costs of the deal out, including the coordination fees charged on that file — and each file gets a statement of its own, so you can see what each listing and each sale actually made you, not just what the practice did as a whole. It works with the books you already have — no new system, and no upgrade, sits behind it.

One desk, if you want it. Bookkeeping can run on its own, or alongside your file work with The Back Office — your files and your books under the same standard, the books in your own system.

The agent sells. The Back Office keeps the books.

TAB 03THE PRICE

From $395 a month.

The exact fee depends on the size and state of your books — your volume, your accounts, how far behind they are — and is scoped and priced in writing before anything starts. No hour meter. If the books are behind, the catch-up is quoted in writing first, the same as everything here.

Setup: for agents whose files already run on this desk, the bookkeeping setup is included. Books alone, setup is $150, one time — your bookkeeping system configured or connected, accounts linked, the opening position recorded, and the monthly rhythm set. If you do not have books set up yet, we will set them up in QuickBooks Online.

Business owners: the same desk runs financial administration for companies, from $1,250 a month.

Asked, and answered.

Straight answers, no fine print.

How much does bookkeeping for a real estate agent cost?
From $395 a month. Setup is included for agents whose files run on this desk; books alone, setup is $150, one time. The exact fee depends on the size and state of your books and is scoped and priced in writing before anything starts. There is no hour meter, and a catch-up on books that are behind is quoted in writing first.
Is this the same as realtor bookkeeping?
Yes — agent bookkeeping and realtor bookkeeping are the same desk under two names: the practice books of a real estate agent, kept current month over month. This page uses "agent" because that is the Alberta term; the work is identical.
Is this my taxes?
No. Bookkeeping keeps the records current; your accountant files from them. The Back Office coordinates with your accountant and keeps the records ready — the filings, and the tax advice, stay with them.
Do I have to use The Back Office for my files too?
No. Agent bookkeeping stands on its own. It also sits naturally beside the file work — many agents would rather have one desk — but each engagement is scoped separately, in writing.
What system do the books live in?
Yours — the books live in your own system, in your own accounts. If your practice already keeps books, we work in them; if you do not have a system set up yet, we will set one up for you in QuickBooks Online. Your books and records stay in your own accounts, visible to you any time.
Do you work with agents outside Calgary?
Yes. The desk is in Calgary and the work is remote-first, with agents across Alberta and businesses across Canada.
